Reporting to the Executive Director (ED), the Administrative Assistant is responsible for a variety of tasks and functions that assist the ED.
The duties will be varied and diverse and will include typical administrative and secretarial functions.
This person will provide a limited amount of administrative support to the management team while primarily working for the ED.
Qualifications:
Five or more years of experience in providing administrative support is required.
A bachelor's degree from an accredited, four-year college or university is preferred.
Experience or knowledge in event planning, public relations, marketing, non-profits, communication or related field is preferred.
Must have strong written and oral communication skills and be able to handle multiple tasks, be organized and possess strong time management skills.
Knowledge/Skills:
Computer proficient in Microsoft Word, Excel, PowerPoint, and ability to quickly learn new applications; Legible handwriting and ability to accurately record information; Organizational skills with focus on tracking employee status; Professional demeanor and recognition of privacy; Ability to multitask efficiently and effectively; Must be able to act calmly and effectively in a busy or stressful situation; Ability to communicate effectively in person, by phone, and in writing; Requires adherence to all policies and procedures, including but not limited to standards for safety, attendance, punctuality and personal appearance; Must be able to establish and maintain effective working relationships with managers and peers.
Essential Job Functions:
Schedule monthly supervisions and yearly reviews.
Receive various tasks from ED as required for program efficiency Responsible for providing administrative support primarily to the ED, with limited assignments coming from other members of the management team.
Answer and/or return phone calls.
File, fax, copy, scan, etc.
Schedule, organize and maintain ED files and records.
Prepare for staff meetings, board meetings and other company meetings.
Take minutes for a variety of meetings.
Follow up on various tasks related to projects initiated by the ED.
Schedule travel for workshops, conferences, etc.
Participate in discussions related to planning and organization.
Responsible for a variety of tasks related to the public relations and marketing of the company.
The following is primarily the responsibility of the Outreach Coordinator and the Administrative Assistant contributes support as needed.
Writing press releases, speeches, program presentations, etc.
Managing the donor database.
Planning company events such as the retreats, outside meetings, health fairs, community events, etc.
Other duties as assigned.
Physical Requirement:
Hearing:
Adequate to perform job duties in person and over the telephone.
Speaking:
Must be able to communicate clearly to patients in person and over the telephone.
Vision:
Visual acuity adequately to perform job duties, including reading information from printed sources and computer screens.
Other:
Requires occasional lifting and carrying items weighing up to 10 pounds unassisted in normal daily activities and up to 30 lbs.

Additionally, requires frequent bending, reaching, and repetitive hand movements (especially if keyboarding and writing), standing, walking, squatting, and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular work shift.

Estimated Salary: $20 to $28 per hour based on qualifications.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
